This policy explains how F3 SPORTS CANADA INC., doing business as iSaute ("we"), collects, uses, discloses and protects your personal information in connection with https://isaute.ca, bookings, waivers, memberships and its services. It also describes your choices and rights.

Our handling of personal information is subject to Quebec’s Act respecting the protection of personal information in the private sector, modernized by Law 25, and the Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies, including to certain interprovincial or international disclosures in the course of commercial activities.

1. Information we collect

The information collected depends on your interactions with us and what is necessary to provide the requested service. It may include:

  • Contact and account information: name, email address, telephone number, postal address and information needed to manage your account.
  • Transaction information: bookings, purchases, memberships, transaction history, billing information and information needed by the relevant providers to process payment.
  • Participant and waiver information: name, age or date of birth where necessary, information supplied by a parent or guardian, and consents and signatures related to participation.
  • Information you provide in requests, comments or communications with our team, and your communication and consent preferences.
  • Technical and browsing information: IP address, device and browser type, pages viewed and interactions with the website or advertisements, subject to your consent choices where consent is required.

We collect this information from you, a person authorized to book or act on your behalf, our booking platform and, depending on your choices, through technologies used on the website. Please do not send sensitive information that is unnecessary for your request.

2. How we use information

  • To provide our services and manage accounts, bookings, payments, waivers and memberships.
  • To respond to your requests and send confirmations, reminders and other information useful for your visit or account.
  • To maintain website and service security, prevent fraud, resolve disputes and meet our legal obligations.
  • To understand website usage and improve our services, subject to your cookie choices where consent is required.
  • To send you offers and measure the relevance of communications and advertisements, with your consent where required by law.

We ask for your consent where required by law and explain the purposes involved. Reading this policy does not, by itself, constitute consent to optional cookies or promotional communications.

3. Disclosure and service providers

Our bookings, waivers and memberships are processed by our booking platform provider, ROLLER. Necessary information is sent to this platform to process your requests. Third-party interfaces and services may also present their own privacy notices, which we encourage you to read.

We may disclose necessary information to providers that help us host the website, process payments, provide support, send communications or deliver measurement and advertising services according to your consent choices. These disclosures must meet applicable legal requirements, including required contractual protections.

Information may also be disclosed with your consent, where required or permitted by law, to protect rights or safety within the limits allowed by law, or as part of a business transaction subject to legally required protections.

Processing outside Quebec

Some providers may process or store information outside Quebec, including outside Canada, where laws may differ. Before disclosure outside Quebec, the law requires, among other things, a privacy impact assessment and adequate protection governed by a written agreement. You may contact us for details about the providers and processing locations relevant to your information.

4. Cookies, analytics and advertising

The website uses a cookie consent management tool. Its categories are necessary cookies, preferences, statistics (website analytics) and marketing (advertising and advertising measurement). Necessary cookies support website operation and security; optional categories depend on your choices.

You can accept or reject optional categories and change your choices in the website’s cookie consent settings. Statistics and marketing choices are also passed to the integrated ROLLER booking interface. Rejecting optional cookies does not prevent use of essential functions, but some personalization features may be limited.

5. Email and text messages

You can unsubscribe from promotional emails using the link provided and follow the opt-out instructions included in text messages, or email info@isaute.ca. Withdrawing consent to promotions does not prevent communications needed for a transaction or required by law. We do not disclose your mobile telephone number to third parties for their own promotional campaigns without your consent, except where permitted by law.

Our text message programs are governed by our Mobile Terms of Service. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text message opt-in data and consent will not be sold or shared with any third parties, except service providers that help us operate our text message programs; the sharing described in this policy excludes that data.

6. Retention and destruction

Personal information is retained for the period necessary for the purposes of collection and to meet legal obligations, including those relating to transactions, waivers or dispute resolution. The period varies with the type of information and the context. When no longer necessary, information must be securely destroyed or anonymized in accordance with the law, subject to applicable retention obligations.

7. Security and accountability

We implement reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. Access must be limited to people who need it to perform their duties. No transmission or storage system guarantees absolute security.

The person responsible for the protection of personal information oversees privacy matters and the handling of requests and complaints. You can contact this person at info@isaute.ca. In the event of a confidentiality incident, legally required measures and notices apply, including where an incident presents a risk of serious injury.

8. Children’s information

Bookings and waivers concerning children must be completed by a parent, guardian or duly authorized person, according to service requirements. We limit the information requested to what is necessary for participation and service management.

In Quebec, collecting personal information from a child under 14 requires consent from the holder of parental authority or guardian, unless the collection is clearly for the child’s benefit. If you believe a child has sent us information without the required authorization, please contact our privacy officer so the situation can be reviewed.

9. Your rights and choices

  • Access: ask whether we hold personal information about you and obtain access to it, subject to exceptions provided by law.
  • Rectification: request correction of information that is inaccurate, incomplete or ambiguous, or collected, disclosed or retained contrary to law.
  • Withdrawal of consent: withdraw consent to a use or disclosure, subject to applicable legal or contractual restrictions. We will explain possible consequences for the services requested.
  • Deletion: request deletion of your information, including when it is no longer necessary or its retention is unauthorized. This right is subject to conditions and exceptions provided by law; some information may need to be retained.
  • Portability: where provided by law, request that certain computerized personal information be communicated in a structured, commonly used technological format.

Send your request to the privacy officer at info@isaute.ca, identifying the information or service involved. We may verify your identity or authority before acting and will respond within legally prescribed time limits. If we cannot grant a request, we will explain the reasons and applicable remedies.

You may send us a privacy complaint at the same address. You also have the right to complain to the Commission d’accès à l’information du Québec and exercise applicable remedies; information is available at https://www.cai.gouv.qc.ca. Where PIPEDA applies, you may also contact the Office of the Privacy Commissioner of Canada.

10. Changes to this policy

We may update this policy to reflect changes to our services or legal requirements. The revised version will be published on the website with its update date. We will provide any notice and seek any new consent required by law.
